Inside a virtual medical scribing workflow
From preparing for the session to reviewing the note, see how a shared routine can bring structure to documentation.

Virtual scribing places documentation support outside the consultation room. A useful starting point is a simple workflow that the clinician, scribe, and practice team all understand.
Before the session
Agree on the schedule, note format, communication channel, and the scribe’s assigned tasks. Check that the practice-approved connection and account access work before appointments begin.
During the encounter
The clinician leads the visit while the scribe documents within the agreed role. Set a clear way to flag a missed phrase or request clarification without disrupting the conversation.
After the visit
Build time into the process for the clinician to review the draft and resolve questions. Keep a short feedback loop so that recurring formatting or terminology issues can be addressed.
Refine the routine
Ask the team what worked and where handoffs felt awkward. Adjust one part of the workflow at a time, such as when drafts are ready or how outstanding questions are tracked.
