Preparing your practice for a virtual scribe

Introducing a virtual scribe starts with understanding your practice’s existing routine. Before choosing a new workflow, talk with the people who will use it each day.

Map the current process

Write down how a visit becomes a completed note. Identify who prepares the record, where questions arise, and which steps require the clinician’s attention.

Define the role

Document the scribe’s responsibilities and the boundaries of the role. Agree on who reviews drafts and who to contact when a question cannot be resolved during the session.

Prepare a small starter kit

  • Your preferred note structure and terminology.
  • The session schedule and a named point of contact.
  • Practice-approved access and communication arrangements.
  • A process for clinician review and feedback.

Begin with a focused pilot

Choose a manageable starting schedule. Collect feedback from the clinician and scribe, then revisit the plan before extending it to more sessions. Use your own practice’s experience to decide what needs to change.
